Method, definitions and automation scope
Definitions
Utilization = SAP work order hours confirmed against a person ÷ their attendance hours in plant. With allowances adds the idle, washroom and miscellaneous percentages set above. Hours are booked on the execution start date, so multi-day jobs overstate the start day.
Required FTE = SAP hours ÷ (average attendance per person × target). Absence rate = (absent, leave and half-day days) ÷ (present, absent, leave, half-day and official days).
Controls applied automatically
Reversed and cancelled confirmations are removed as pairs, minutes are converted to hours, duplicates are dropped, SAP hours are matched to attendance by personnel number, and the staff list is reconciled against SAP postings.
Automation scope
Reads standard SAP IW47 and time-office exports, applies the controls above, calculates the KPIs, raises discrepancy findings, and produces the dashboard and a formatted Excel report in seconds. The same logic works for any plant that can supply these two exports. Column names are matched flexibly, and the staff list is confirmed by the auditor.
Reference practice
Metric design follows common maintenance-labour practice: SMRP Best Practice Metrics, EN 15341 maintenance KPIs, ISO 55001 asset management and wrench-time studies. Thresholds in the scorecard are editable audit defaults, not published standards.

| Absence rate | Absent, leave and half days ÷ scheduled days | Lost availability |
| Overtime % | Approved overtime hours ÷ attendance hours | Cost and fatigue risk |
| Required FTE | SAP hours ÷ (average attendance × target) | Right-sizing |
| Estimation accuracy | Actual ÷ planned hours | Planning quality |
| Overall labour effectiveness | Availability × utilization × performance | Single effectiveness figure with loss tree |
